WASHINGTON D.C. TRIP

Rooming Update for Parents Going on the DC Trip (5/17)

Your son or daughter will be bringing home (hopefully) a rooming signup sheet for you if you are chaperoning the DC trip.  If you have no idea who is going or who to room with, don't worry, we'll pair you up with someone.  Any questions give Janice Schweihofer a call in our main office.

Students will be signing up for their rooming partners next week (4 to a room).  This ALWAYS causes me a headache.  Please help stress at home that this isn't like a family vacation where you might spend a bunch of your time hanging out in your hotel room.  Who you room with is such a minor, minor, minor part of the trip.

Here is a copy of what is being sent home with your child.  If they forget, lose it, have it stolen by gang members to sell on the black market, have it eaten by a land shark or it doesn't get home for any other reason, we have more copies in the main office.

TEXAS HOLD’EM FUNDRAISER

This is the third time we’ve used this fundraiser and it’s worked very well in the past.  For those that have never been involved with this type of fundraiser, our part is easy.  We don’t deal, we just work the cashbox and act as a runner if one of the tables needs something.  The response I got from the parents in the past is that they all had a good time.  The man in charge explains everything when you show up.  Here’s the plan.  We have four separate “dates”, each one being four days long.  If it goes like last year we can expect to earn about $1000 a night. The school is going to keep around 40% of the profits (believe it or not, we have expenses that we need to cover….it’s not going toward my vacation fund).  Around 60% will go toward the DC trip of that worker’s child.  The reason I say “around” is that last year we worked it out to the penny and some parents earned more than others depending on the date they worked (a little confusing but trust me).  To make it more fair, I’ve decided to give each worker $100 toward their child’s trip.  If we make considerably more through this fundraiser, once all is said and done, I’ll divide up the extra and give each worker a bonus.  Once each 4 day fundraiser is done, I’ll send the money directly to Gerber.  If you owe $175 and work two sessions, you’ll earn you $200.  That will pay off the trip and get a $25 refund from Gerber.  The one catch that I don’t see happening is that you can not make more than the trip costs.  If that happens (which it won’t) the “extra” will go to SCMS.  If you are interested in helping out, please fill out the form below with the dates and times you are interested in.  My first priority is to give everyone interested an opportunity to earn some “DC” bucks to help offset the cost of the trip.  If we have too many wanting one time slot then I’ll make some phone calls to see if we can work it out…if not, I’ll draw names out of a hat.  Once everyone who wants to help out gets a slot, if there are still openings I’ll fill those from the names of those parents that would like to do more than one time.  After I figure this all out (it’s like a tetris game), I’ll e-mail a schedule out to everyone that signed up as well as put it on our SCMS/Washington DC link.  Your phone number will be on the schedule that is e-mailed out unless you make a note that you do not want me to print it..but it will not be on the website.  The reason for the phone numbers is so you can contact those working the same day/time to arrange rides or call someone to fill in for you if an emergency comes up.  You’ll notice that the last time slot is not the same as the other two.  The reason is that the people working the last time slot have to stay after to count the money and one person in that last group has the responsibility of taking the money to our Central Office on Meisner Road the following day.  I’ll send out more information via e-mail after I get the lists completed.  I am going to post this on our SCMS website under the Washington DC link.  Any questions give me a call.

Thanks to everyone that attended the meeting last night.  Two important things to remember.

  1. It's an AWESOME trip

  2. If you have ANY questions, don't hesitate to shoot me an e-mail or pick up the phone and call me.

I sent an e-mail to our tour company regarding the question last night on the payment plan dates.  As soon as I get a reply, I'll post it on this site.  Also....one very important piece of information that I did not mention last night, and this is not meant to be a scare tactic, but we do have limits as to the number of people we can have go.  We are limited by the number of seats on our tour buses.  Like most things in life, this trip is on a first come (sign up) first serve.  For example, if our buses hold 150 people, we can't have 151 people go (which is a bit of a nightmare for me).  If we go over the number of seats available, we'll start a waiting list.  If we get a workable number on the waiting list, we'll add another bus.  In all the years we've been doing this, we've had waiting lists but it's always worked out that we were able to take every student that wanted to go.  My fingers are crossed that we'll be able to accommodate everyone, but with that said, please register early.

Here is the info/dates I received regarding the payment plan:
Date Amount Description
2/1 $125 Deposit
3/1 $130 Payment #2
4/1 $130 Payment #3
5/1 $130 Payment #4
6/1 $130 Payment #5
7/1 $125 Payment #6
8/1 $125 Final Payment

Here are some common questions/answers.

  • For the sixth straight year we will be flying.

  • It is an awesome trip

  • The trip is expensive…payment plans are available.

  • Because of the cost, we will be having two fundraisers to try to help offset the cost.  Info on those will follow.

  • It is not uncommon for a student to save $200-$300 using our fundraisers

  • In the past we have had close to a 1 to 3 chaperone ratio.

  • We travel in herds….wandering off is not an option

  • In the dozen years I’ve been going on these 8th grade trips, I have never had any behavior or discipline issues….we have great kids.

  • Did I mention that it was an awesome trip?

  • We are on the go from sun up to well past sun down.  This isn’t a vacation where the kids will have time to swim in the hotel pool or spend time in the arcade.

  • Students room four to a room.  They choose their room mates (mid May we’ll have a sign up).  Adult chaperones room two to a room.

  • As a parent, if you decide to go, you will be chaperoning your child’s group and will be on your child’s bus.

  • There are two ways to sign up.  You can do it online or you can fill out the form and send the form and a check to the SCMS office.  We will mail all the forms in to the tour company together.  If you choose the SCMS route, we need a form for each person going.

  • We will be having a meeting in the fall to finalize flight times

  • This truly is a trip that will create memories that will last a lifetime.

Please, please, please don’t hesitate to call with any questions.
